The core functions of the IT Business Operations include Technology Business Management, IT Service Planning and Modeling, and IT Project Reviews. These functions exist to ensure that we drive ever increasing value out of each dollar spent in non-clinical areas with significant focus on affordability and resource management.  We serve to standardize processes across Baptist Technology Services in these areas so we effectively and efficiently run as a customer-focused business and assist Baptist Memorial Health Care Corporation in delivering on the mission of healing, preaching, and teaching. - Technology Business Management - Asset Management - Manages the accurate counts and utilization of software license counts by product type while ensuring compliance with actual utilization reports and metrics. - Collaborating with enterprise technology service leaders to forecast license utilization and gap against currently licensed levels. - Ensures IT inventories are updated and properly tracked for reporting and auditing purposes. - Contract Management - Collaborate closely with Corporate Procurement department to ensure proper reviews. - Conducting IT Contract reviews per IT departmental review checklist process and coordinates reviews of new and modified agreements with Baptist legal department. - Ensuring Business Associate Agreements are established, signed, reviewed at regular intervals, and exist for all IT vendors and partners. - Procurement Management - Manages and facilitates the payments of IT invoices and purchase requests for IT hardware, software, and services. - Manages and processes (with staff) purchase requisitions, renewals, new contracts, and bills by also coordinating with other corporate services departments including accounts payable. - Ensuring contract database is updated and current for any new/modified vendor contracts. - Vendor Management - Coordinating the standardized onboarding of new IT product vendors and service providers. - Coordinates any annual compliance requirements or recertification necessary for vendors. - Service Level Agreement Management - Ensures that documented Service Level Agreements (SLA) as established by IT with Baptist are properly supported and coordinated with IT departmental policies and funding mechanisms. - IT Policy Management - Maintains and coordinates annual reviews of all IT department policies and procedures both within IT and with corporate departments. - Maintain and Update Standardized IT Business Processes (g. IT purchase requests, financial reviews, contract reviews, etc.) and ensures compliance, auditability, and coordination with other corporate departments such as corporate finance, corporate human resources, purchasing/supply chain, legal, and privacy/security.   - IT Service Planning and Modeling - Be primary liaison and partner closely with Corporate Finance to refine IT service cost model projections for planning purposes. - Building and maintaining the Corporate IT 5 year Total Cost of Ownership (TCO) model to assist in managing the overall operational cost of IT. - Calculating IT metrics and Key Performance Indicators - Identifying opportunity areas for IT operational optimization and efficiencies. - Collaborate with CIO and IT Leadership to regularly review reports and findings. - Developing and maintaining various models used primarily to support decision making, ‘what if’ scenarios, and cost/benefit analysis. - Assist in developing financial business cases and analysis for potential new technologies or comparing/changing vendors/partners/contractual arrangements and determining/updating impact on IT’s new 5 Year TCO. - Lead financial estimating and modeling exercise of new, enterprise IT system implementations (or replacements or migrations of IT systems) and their associated financial impact from one-time capital, one-time operating, and recurring operating expenses.   - IT Project Request Review - Assist Project Managers with completion of IT Project Budget templates for technology projects and their associated impact on IT’s 5 Year TCO model. - Assist IT project financial business case representation by clearly articulating the economic and financial impact of a given IT project. - Lead review and/or correct IT Project Budget worksheets ensuring accuracy by accounting of all costs pertaining to a project and categorizing those costs correctly (e.g. capital/expense, SOP-98, or other accepted organizational accounting policies). - Collaborating with Corporate Finance to ensure accurate projects of IT project and their ongoing (recurring) costs are reflected in organizational financial projections including accrued costs.   - Special Projects - Carrying out other special projects as needed - Implementing process improvements to drive efficiency and ensure accurate and timely distribution of information to all stakeholders - Develops and automates ad hoc reports and data extracts in support of external benchmarks and surveys (e.g., in support of Most Wired, Industry Benchmarking, AHA Hospital IT Survey, etc.)
